Hiring process for new substitute professors
Introduction
This process allows the procedures for hiring new adjunct professors to begin.
Contract documents are signed electronically. Two essential steps make up the contract signing process, and a third step is necessary to arrange the direct deposit of your salary into your bank account.
Information you will need to submit and sign documents
- To access the e-services portal and the electronic signature book you will need your UPC credentials (username and password). You will receive an e-mail in your personal e-mail account from the computer services giving you your UPC credentials (username and password).
- To sign documents, use one of the identification and signature methods found here.
Step 1. Go to the E-Services Portal and submit the prior documents.
Go to the E-Services Portal and use the “Hiring of teaching and research staff” form to submit the documents required to formalise your contract.
You will need to submit the following documents:
- Form 145:
- Download “Form 145”
- Instructions for completing form 145
- Decision regarding your residence and work permit. (Foreigners should attach this document if required.)
- Degree certificate or provisional degree certificate. Choose one of the following three options:
- If it is a UPC degree, you do not need to attach it, you just need to give the name of the degree and the year of award in the Service Manager: PUC-Personal .
- Attach the degree certificate only if it has been signed electronically.
- If you have not chosen any of the previous two options, follow the instructions to certify your university degree.
- Tax residence certificate. (Attach if you are a foreigner who is a tax resident in Spain.) Tax residence certificates are issued by the Tax Agency.
- Optional: Family record book. (Attach if you have dependent children or relatives declared on form 145.)
- Declaration of activities: If you have another activity in the public sector, you will need to fill in and submit the declaration of activity as indicated on the pdi portal
Step 2. Go to the electronic signature book to sign your contract and the other documents
The electronic signature book allows you to electronically sign the documents required to formalise your employment relationship with the UPC (contract, basic copy of the contract, and data protection document).
When the documents are ready to sign (within the deadline specified), you will receive an e-mail with a link to the electronic signature book

Step 3. Go to the Staff Portal to provide your bank details.
- To proceed with the hiring process, you will need to provide your bank details via the Staff Portal, before the 15th of the month in which your contract begins. Go to Personal area > General Information > Domiciliació bancària [Direct deposit]
- This is a workflow process, so the data you enter will be recorded in the system. You do not need to submit any other documents.
- Please bear in mind the following:
- We need your bank details to make your salary payments.
- You must be a holder of the corresponding account.

If you have completed the entire process by the specified deadline, you will be able to access your contract at the Staff Portal: Racó personal>Expedient Electrònic>Documents.
Induction
The section "Essential training for the new PDI" of the ICE portal offers basic information to facilitate the integration of new staff in the UPC.
Health check
The UPC offers new staff an initial health check. Although not mandatory, we recommend that you have a health check because they evaluate the effects of occupational risks. You will receive an email with the day, time and ViPS center in which you have the reservation to make it.
Atenea
The Personnel Service adds teaching staff to the Human Resources application from the start date of the contract. From this date onwards, if teaching staff have credentials to access the intranets, they must contact their school, which will arrange for them to be given access to PRISMA. Once they have been given access to PRISMA, the information is synchronised with ATENEA on a daily basis.
Therefore, once teaching staff have access to PRISMA they will have access to ATENEA the following day. If you encounter a problem with your access (if you have not been added, for example), contact your school
UPC card
The UPC card is an exclusive identification tool for members of the university community.
In addition to the UPC digital card, if you need to access buildings, timestamp or use the reprographic service, you will need an access card. You can request it through the following link.
Useful information on taxes
- If you are a tax resident in Spain, general legislation on income tax will apply and the financial and family information you communicated when you filled in Form 145 in Step 1 will be taken into account.
- If you are a foreigner or you are not a tax resident in Spain (you do not spend more than 183 days a year in Spain), legislation for non-residents will apply. In this case, the general income tax rate will be 24%, up to 183 days, unless you can prove tax residence in an EU country, Iceland or Norway, in which case a general income tax rate of 19% will apply until you become a tax resident in Spain.
